Team Lead, Secretarial (Legal)

The Team Leader will be responsible for overseeing and supporting a team of secretaries, ensuring that workloads are allocated fairly, deadlines are consistently met, and all tasks are completed to the highest standard. 

Acting as the primary point of contact between lawyers and support staff, the Team Leader will work to resolve issues efficiently, maintain seamless communication, and ensure that workflow remains smooth and well-organized. In addition to providing a full range of secretarial and administrative support – including drafting and amending legal documents, managing billing processes, maintaining files, and coordinating various administrative functions – the role involves supervising, mentoring, and training team members to enhance both individual performance and overall team effectiveness.

The Team Leader will coordinate onboarding processes, conduct performance reviews, and develop tailored growth plans, while also managing cross-jurisdictional scheduling, event planning, and internal communications. Working cross-functionally with other internal departments, the Team Leader will ensure operations run efficiently across multiple offices, all while upholding internal policies and procedures with professionalism and attention to detail.

Requirements:

  • At least 5 years’ prior secretarial experience in a professional office environment with a minimum of 2 years’ experience leading and supervising a team.
  • Knowledge of Regulatory and/or Trusts & Estates law is desirable.
  • Approachable and personable.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with a high attention to detail and the ability to work accurately under pressure.
  • Strong work ethic and ability to maintain the highest standards of confidentiality.
  • Proficiency in document formatting skills and Excel.
Salary will be in the range of $100,000.00 to $150,000.00 USD per annum commensurate with experience and qualifications.
