Position Overview:
Our client is seeking a highly organized and customer-focused individual to join their team as an Accounts Assistant / Executive Assistant. 
 
This role combines the responsibilities of supporting our client’s sales operations with providing direct administrative assistance to the President of the company. The ideal candidate will excel in customer service, accounts receivable, administrative tasks, and managing multiple priorities, contributing to the efficiency and success of their business operations.
 
Key Responsibilities:
Accounts Assistant / Administrative Responsibilities:
•    Provide outstanding customer service by assisting internal and external customers via phone, email, and in person.
•    Assist accounts receivable with invoice discrepancies by researching and submitting corrections.
•    Manage incoming orders and inquiries, determining urgency and coordinating with the appropriate departments.
•    Communicate daily with sales personnel regarding quotes, order statuses, deliveries, backorders, and pending issues.
•    Perform customer follow-ups on quotes, order inquiries, delivery statuses, and issue resolutions.
•    Submit and update contract pricing, ensuring timely approvals as required.
Accurately complete all required documentation on a daily, weekly, and monthly basis.
Executive Assistant Responsibilities:
•    Provide direct administrative support to the President of the company, including managing schedules, preparing reports, and handling correspondence.
•    Coordinate meetings, prepare agendas, and take detailed meeting notes.
•    Assist with travel arrangements and event logistics for the President.
•    Organize and maintain files, records, and confidential documents.
•    Act as a point of contact for internal and external communications on behalf of the President.
•    Assist with special projects and tasks as assigned by the President.
 
Requirements:
•    A minimum of 3 years providing direct support to senior-level executives, including managing schedules, correspondence, and sensitive information with discretion and professionalism.
•    Proven Accounts Receivable / Payable experience handling cash, processing payments, and reconciling accounts with accuracy and integrity.
•    Experience coordinating the dispatch of materials and personnel, ensuring timely and accurate delivery of goods or services.
•    Strong customer service skills, with the ability to handle inquiries, resolve disputes, and maintain positive relationships with clients and team members.
