Affinity Recruitment has been engaged by a well-established business here in Grand Cayman to assist in their search for a Planner.

Planners are responsible for making sales in the Special Events Department and ensuring the success of events sold to clients. This includes making sales calls/contacts, creating proposals, meeting with clients and vendors to plan events, collecting deposits and billing, maintenance/ management of contracts, invoices, event timelines, itineraries, and the ability to handle multiple clients with time and budget considerations.


Have complete product knowledge of all of the business’ products and services;
Work towards achieving agreed-upon sales targets within the Special Events division;
Coordinate and plan weddings, private and corporate events according to budget;
Design and produce creative sales proposals to clients including preparation of concise quotes and final billing;
Costing and booking of products, vendors, venues, and labour in accordance with budget demands;
Provide full on-site coordination of all events, working with design and production crews;
Ensure the smooth execution of events to the quality standards, and within cost, parameters agreed upon with clients, based on the correct and complete information being communicated in a timely manner to all relevant departments;
Improve rates of converting inquiries to sales;
Attend Special Events meetings to report on work contributions, progress, and concerns;
Compare and analyze actual versus budgeted expenses;
Provide feedback to Marketing on the effectiveness of the campaigns and tools developed;
Ensure, in association with the Sales & Events Administrator, that all paperwork is completed, billing is current and final payments are collected;
Maintain confidentiality of all business clients and information at all times;
Contribute to the Special Events Sales team by actively seeking new means of generating income;
Building and maintaining client, vendor and partner relations.


Min 5 years of Wedding and Special Event Planning and Sales experience;
Exceptional organizational skills with the ability to multi-task and coordinate various projects and teams simultaneously;
Proven track record of strong selling and negotiating skills, with attention to detail. Ability to establish key contacts and generate business within the local corporate & social market;
Positive interpersonal skills, excellent verbal and written communication skills;
Proficiency in Microsoft Word, Excel, Outlook, Publisher and Party Cad;
Ability to work in a high speed and high demand environment and meet tight deadlines.

In return, a full and competitive remuneration package will be offered commensurate with qualifications and experience. Working hours are varied and include evenings, weekends and Public Holidays. The work environment will include working outdoors from time to time and in some cases, in hot weather conditions. Must have clean driving and police records and own transportation.
